Summary of Position
The Home Care Administrative Float provides analytical and administrative support to enhance operational efficiency within the Support Services Department. This role involves administrative coordination to support department goals and objectives.
Essential Duties and Responsibilities:
- Responsible for assisting the Eligibility and Authorization Team with verifying insurance and eligibility, requesting and following up on authorizations; and running reports as needed.
- Responsible for assisting with all administrative functions of the Hospice program including but not limited to the following.
- Responsible for integrity of the IDT agenda
- Ensures CTI, Re-CTIs and all face-to-face documents are completed accurately and timely
- Send DNR paperwork via Adobe to the medical director and follows process to ensure it comes back signed.
- Ensures signing provider is the provider noted on the patients Notice of Election and the hospice certification. Receive appropriate paperwork to change signing MD.
- Runs recurring charge report and addresses errors.
- Notifies vendors including DME and SNF of pertinent information
- Responsible for assisting with all support services functions including but not limited to
- Orders medical and office supplies as needed. Maintains current counts of PPE and assembles new kits as needed;
- Ensures an adequate supply of admission packets are available for clinicians including any and all specialty packets
- Works with HIM to ensure medical record requests are fulfilled
- Maintains the emergency box and MSDS binders for the branch.
- Monitors accuracy of non-clinical data in EMR including address, MD, events, insurances.
- Perform audits as requested
- Responsible for greeting visitors, sorting mail and managing telephone traffic in a courteous and professional manner
- Responsible for assisting the scheduling department’s functions including but not limited to
- Assigning, moving and cancelling visits for clinicians and HHAs as appropriate. Assigning all nursing visits to case manager for the certification period
- Updating model calendars and entering case managers/other personnel into patient chart
- Creating weekly staffing notifications and end of day nursing numbers. Updates PING emails
- Notifying branch management of unassigned visits
- Running reports for new admissions. Calling
- Informing patients of upcoming HHA schedules or HHA absences. Responsible for HHA missed visit process
- Completing IDT spreadsheet
- Triaging emails and phone calls
- Works on special projects and participates in designated committees as assigned.
- Can be depended upon to report to work on-time, use time off appropriately, and complete annual education & medical requirements.
- Communicates effectively and tactfully with clients, recognizing their age, cultural diversity, needs, abilities and physical condition.
- Performs other duties as required.
Minimum Qualifications:
Education: High school Diploma or equivalent. 2-4 years healthcare experience
Experience: Comprehensive understanding of regulatory requirements. Knowledge of medical record policies and procedures. Proficiency in Microsoft Office suite. Familiarity with electronic medical record systems. Training in business or evidence of satisfactory work experience.
