Summary of Position: Develops and maintains staffing schedules for nursing services department and maintains all related records.
Essential Duties and Responsibilities:
- Assumes responsibility for the scheduling of nursing personnel for all shifts through the development, preparation and maintenance of staffing schedules that meet the needs of the community, under the direction of the ALSA Director. Demonstrates proficiency in computerized scheduling systems.
- Reports to, consults with, and informs ALSA Director regarding activities, needs and issues related to the day to day operations. Enters schedule changes to master schedules and Kronos. Ensures any changes to the schedule are made per processes and policies.
- Enters time off and extra shift requests, after approved by ALSA Director.
- Effectively communicates with ALSA Director to determine staffing needs. Makes adjustments to staffing patterns based upon established guidelines.
- Maintains and updates daily RCA assignments accurately and timely. Verifies all residents are on the assignments and that no care has been duplicated or missed. Tracks and notifies RCAs of residents out or returning from LOA.
- Ensures that all schedules are posted per time-line by holding all staff accountable for the submission of time requests, changes and draft schedules in a timely manner.
- Provides monthly spot check for ALSA residents to identify conditions or decline of resident apartments.
- Participates in the orientation of all RCA personnel to the scheduling practices and guidelines.
- Participates in the scheduling, oversight, and evaluation for all new RCA staff orientation.
- Manages staffing and tracks attendance of assigned employees.
- Assists ALSA Director with onsite personnel files in accordance with appropriate standards governing the privacy and confidentiality of medical records. Maintains record of in-service attendance and annual mandatory training. Compile and distribute Monthly self-study education in-service packets to staff. Keeps staff informed of need for compliance.
- Processes and monitors Weekly Payroll. Works with Payroll department to resolve issues as they arise. Provides education to employees and notifies supervisor of Payroll trends related to Staff performance in reference to the Masonicare Payroll Policy.
- Monitors staffing trends to reduce weekly payroll costs and avoid overtime.
- Records all information in a clear and organized method and keeps all nursing personnel demographics updated and current.
- Maintains established departmental policies, procedures and objectives. Demonstrates flexibility in work hours to meet departmental needs, including weekend coverage.
- Enhances professional growth and development through participation in educational programs, current literature and workshops.
- Responsible for ordering medical and office supplies, and maintaining office atmosphere.
- Performs other duties as required.
Minimum Qualifications:
Education: Associates Degree Preferred
Experience: Three to five years’ experience in staffing/scheduling in a healthcare environment
Key Competencies: Knowledge of computerized scheduling system
