The Document Management Specialist is a multi-tiered position, with primary responsibilities to facilitate and achieve established signed MD order targets. This is based on timely securing, reviewing and accepting doctor’s orders. Provides support to other members of the Document and Provider Management Department in order to ensure that agency goals and objectives are met.
Essential Duties and Responsibilities:
1.Follows processes and procedures as outlined in the Document and Provider Management Operations Manual.
2.Responsible for processing documents for provider signature which includes but is not limited to:
a)Ensures timely and accurate information is given to providers for signature.
b)Ensures all MDs receive orders regardless of delivery method
c)Updates MD profile information in EMR as necessary
d)Ensures accuracy of orders and face to face returned by providers
e)Ensures orders and face to face meet regulatory guidelines or sends back to providers for more information
f)Upload complete, accurate documents to EMR
3.Works in conjunction with assigned Document and Provider Analyst to
a)Follow up on outstanding orders or issues. Follows issues until resolution.
b)Make phones calls to MD offices to follow up
c)Ensure branch personnel respond to issues timely
d)Audit orders and face to face in all electronic systems
4.Responsible for greeting visitors, sorting mail and managing telephone traffic in a courteous and professional manner. Brings issues to managers attention in a timely manner.
5.Supports managers by generating reports, triaging incoming calls, faxing as needed, and other tasks as requested by the clinical manager.
6.Establish and maintain positive relationships with community contacts to facilitate the efficient return of orders for service and other time-sensitive documents.
7.Works on special projects and participates in designated committees as assigned.
8.Can be depended upon to report to work on-time, use time off appropriately, and complete annual education & medical requirements.
9.Communicates effectively and tactfully with clients, recognizing their age, cultural diversity, needs, abilities and physical condition.
10.Utilizes critical thinking skills and takes ownership of tasks.
11.Performs other duties as required.
Minimum Qualifications:
Education:High school Diploma or equivalent.
Experience:Knowledge of medical record policies and procedure. Familiarity with computer operations. Training in business or evidence of satisfactory work experience.
Certificates, Licenses, Registrations:Maintains current Drivers’ License and auto insurance.
